Every image used anywhere in a project comes from that project’s media library. An image field on an item points at a file there; it does not hold a copy.
Upload
- Open the media library for your project.
- Create a folder if you want one, Fabrics, Room scenes, Legs.
- Drag the files in.
Pick from inside a form
An image field opens the library in a modal. Choose a file and it is linked, not copied, so replacing that file updates every item using it.
Folders are for finding, not for scoping
Anyone who can reach the project can reach every folder in it. Name folders so you can find things in six months, not to hide anything.

Troubleshooting
The file I uploaded is not in the picker
Check which project you uploaded it to. Libraries do not cross projects.
I deleted a file and an item lost its picture
Items point at library files; deleting the file empties every field that pointed at it. Re-upload and re-pick, or restore from your own backup, the library has no bin.
